Our graduation event budget included food, signs, and a small exhibition. We planned everything for visitors who arrived when the doors opened. Then a student pointed out that many families would come later because of work or long travel. The exhibition would still be there, but the guide desk would have closed.
We moved some money from decorations to a shorter second shift at the desk and printed a simple route card. We asked volunteers what hours they could reasonably work rather than assuming they would stay late without notice. The revised plan served fewer visitors at the very beginning but more people across the afternoon.
At the review, we did not claim that every family had an easy visit. We recorded how many used the later desk and asked what else had been difficult to find. The numbers would help the next group plan, though they could not capture every experience.
